Position Overview

Primary Purpose of the Position

The Financial Aid Business Analyst position provides support to the Division of Enrollment Management and the Office of Scholarships and Financial Aid in their mission of retaining and graduating students. The incumbent is responsible for the overall blueprint/design and operation of the technical and university systems framework that delivers federal and institutional financial aid to students and their parents in equitable, coherent, and timely manner. The Financial Aid Business Analyst works to align the operation of with the University’s Enterprise Resource Planning (ERP) system, Ellucian Banner with Division, Department, and institutional goals, and Department of Education rules and procedures.

The position serves as the primary contact for Banner Financial Aid issues and is responsible for the data processing, data analysis, data maintenance, reporting, and information systems process development of the Office of Scholarships and Financial Aid.

The position duties and responsibilities include the creation and implementation of financial aid strategies, technical documentation, policies and other procedures in support of the Office of Scholarships and Financial Aid, as well as Winston-Salem State University, and the Director of Financial Aid.

Primary Function of Organizational Unit

The mission of the Office of Information Technology is to support and strengthen the academic, administrative, and associated research needs of all faculty, staff, and students at Winston Salem State University through the provisioning, support, maintenance, availability, and outreach of Information Technology Services. Information Technology Services serves the faculty, staff, and students by facilitating the enhancement of student development and services, teaching and learning, research, outreach and administrative operations through technology.

The purpose of Administrative Information Systems (AIS) is to provide support for the University’s ERP administrative application suite (Banner) and its supporting subsystem interfaces.

Minimum Experience/Education

The Competency is a Contributing Level.

Graduation from a four-year college or university with nine semester hours in programming and one year of experience in business application consulting or development. Experience in the field of work related to the position’s role may be substituted on a year-for-year basis.

Preferred Years Experience, Skills, Training, Education

• A bachelor’s degree from an accredited institution or equivalent training and/or experience.
• Five to seven years of progressive financial aid experience;
• Several years of report writing and SQL using tools such as WebFOCUS, TOAD, etc.;
• Experience working with a relational database management system;
• Knowledge of federal and state financial aid regulatory requirements – including cash management and reconciliation;
• Five or more years of experience with automation and major financial aid information systems including Ellucian Banner;
• Knowledge of the Ellucian Banner Student module processing and associated tables and forms.
• Experience implementing and documenting a methodological approach to sequencing the IT aspects of financial aid business processing.
• Experience with COD, CPS, NSLDS, ELM, EdConnect.
• Proven understanding of the role financial aid plays in a holistic enrollment management philosophy.
• Ability to communicate complex technical ideas and concepts in terms that non-technical staff can understand and apply to their work.
• Ability to organize and deliver training;
• Several years of report writing and SQL using tools such as WebFOCUS, TOAD, etc.; and
• Skilled user of Microsoft Office products;
• Familiarity and/or experience with the algorithmic processing functionality delivered in the Ellucian Banner Financial Aid Module;
• A master’s degree in a technology-related field from an accredited institution;
• Significant experience with the Ellucian Banner system to include functional Financial Aid and Student module operations;
• Several years of demonstrated managerial, supervisory or people leadership experience directing, coordinating, delegating and evaluating the work of others.

Serve as technical Business Analyst and Point of Contact supporting Banner Application and associated Modules for functional departments such as Financial Aid. Provide primary software application and functional module support for those supported business units providing workflow analysis, software analysis, business intelligence, application support, and process improvement analysis.
Provide technical development support, application and system testing support, functional modifications necessary, and technical improvement recommendations to the departmental users, technical management, and applicable vendors.
Create and maintain documentation for analysis, design, or training as required. Configure and administer required ancillary software applications to support business needs.

Serve as Project Team Lead on projects as directed. Recommend system and functional modifications to aid in technical solutions. Investigate alternatives as necessary to promote continued efficiency and effectiveness.

Consults with clients, technicians, functional technical leads, other IT Team members, vendors, and management as necessary to provide solutions and resolve technical software application problems in the ERP space specific to financial aid.
Gather and maintain functional requirements and documentation for workflow, test plans, and troubleshooting solutions.

Serve as technical point of contact for the supporting functional departments, and serve as a resource to AIS, other departments and vendors to assess technical needs, developing technology solutions, or efficiency processes.

Develop and foster positive working relationships with supporting departments and other campus entities by ensuring consistent effective communication, providing transparency through documentation, and effective customer service by continued follow-up and system monitoring.

Provide training as needed to ensure that staff within the Office of Scholarships and Financial Aid are up-to-date on functionally and new iterations of software and forms.
